4. Booking & Reservation Policy

4.1 Booking Process

To book a tour or package with Tanzania Destination, you must:

• Complete the booking form with accurate and complete information
• Agree to these Terms & Conditions and our Privacy Policy
• Provide valid contact information (name, email, phone)
• Specify your preferred package, dates, and group size
• Receive a booking confirmation via email

4.2 Confirmation & Payment

A booking is not confirmed until you receive a written confirmation email from our team. Payment terms, required deposits, and full payment deadlines will be clearly specified in your confirmation. We accept payment through secure payment methods. You are responsible for providing correct payment information.

4.3 Reservation Validity

All reservations are subject to availability. We will make reasonable efforts to accommodate your requested dates, but cannot guarantee availability. In case of unavailability, we will offer alternative dates or packages.

5. Cancellation & Refund Policy

5.1 Cancellation by Customer

Cancellations must be submitted in writing to info@tanzaniadestination.co.tz. Refunds will be issued according to the following schedule:

• 90+ days before travel: Full refund minus 10% administrative fee
• 60-89 days before travel: 80% refund
• 30-59 days before travel: 50% refund
• 15-29 days before travel: 25% refund
• Less than 15 days before travel: No refund (non-refundable)

Refunds will be processed within 14-30 days of cancellation approval. Any credit card processing fees will be deducted from refunds.

5.2 Cancellation by Company

Tanzania Destination reserves the right to cancel or reschedule your booking in the following circumstances:

• Insufficient minimum group size requirements (minimum 2 participants)
• Natural disasters, severe weather, or acts of God
• Government restrictions, travel bans, or emergency declarations
• Civil unrest, terrorism, or security threats
• Non-payment or payment default
• Violation of these Terms & Conditions

In case of cancellation by the Company due to circumstances beyond our control (force majeure), we will offer a full refund or a rescheduled date. We will not be liable for any additional damages or losses.

5.3 Modification of Booking

Changes to your booking dates, package, or group size must be requested at least 30 days before your scheduled travel. We will attempt to accommodate changes subject to availability. Additional charges may apply for upgrades; discounts may apply for downgrades.

6. Travel Requirements & Responsibilities

6.1 Your Responsibilities

You are responsible for:

• Valid Travel Documents: Passport with at least 6 months validity, visas, travel permits, and immunization certificates
• Health & Fitness: Ensuring you are in adequate physical condition for the safari activities
• Travel Insurance: Obtaining comprehensive travel and medical insurance coverage (highly recommended)
• Medications: Carrying any required medications and informing us of health conditions
• Vaccination Requirements: Yellow fever and other required vaccinations for Tanzania
• Compliance: Following all Tanzanian laws, customs regulations, and import/export restrictions

6.2 Our Responsibilities

We commit to:

• Providing professional, experienced, and licensed guides
• Operating safe, well-maintained vehicles and accommodations
• Maintaining professional insurance coverage for liability
• Following all safety protocols and industry best practices
• Respecting wildlife and environmental conservation principles
• Delivering services as described in the booking confirmation

7. Health, Safety & Liability

7.1 Health Risks

You acknowledge that safari activities and travel to Tanzania involve inherent health and safety risks, including but not limited to:

• Exposure to tropical diseases (malaria, dengue fever, etc.)
• Altitude-related illnesses (especially for Kilimanjaro climbs)
• Accidents and injuries during activities
• Wildlife encounters
• Vehicle accidents or mechanical failures

You assume all health risks associated with your safari. We strongly recommend consulting with your doctor and obtaining travel health insurance.

7.2 Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, TANZANIA DESTINATION SHALL NOT BE LIABLE FOR:

• Any injury, death, or damage arising from your use of our services
• Loss or damage to personal belongings or equipment
• Delays, cancellations, or changes due to weather, traffic, or mechanical issues
• Acts of God, natural disasters, or unforeseeable circumstances
• Civil unrest, terrorism, or government actions
• Illness or injury sustained during travel or activities
• Lost, delayed, or damaged luggage (this is the airline's responsibility)
• Indirect, incidental, special, consequential, or punitive damages

Our maximum liability shall not exceed the total amount paid for your booking.

7.3 Assumption of Risk

By booking with us, you assume all risks associated with the safari and travel activities. You agree to hold harmless, indemnify, and defend Tanzania Destination, its owners, employees, and agents from any claims, damages, or liabilities arising from your participation in our services.

8. Intellectual Property Rights

All content on the Website, including text, images, graphics, logos, videos, and software, is the property of Tanzania Destination or its content suppliers and is protected by international copyright laws. You may not reproduce, distribute, transmit, or display any content without our prior written permission. Unauthorized use of our intellectual property is strictly prohibited.

Photos and videos you take during your safari may contain intellectual property of Tanzania Destination (such as lodge logos or branded experiences). We grant you a personal, non-commercial license to use these for personal purposes only.

9. Code of Conduct

During your safari, you agree to:

• Respect local customs, traditions, and cultures
• Follow all instructions from guides and company staff
• Maintain appropriate behavior towards wildlife and the environment
• Not engage in illegal activities, including drug use or theft
• Treat other travelers, staff, and locals with respect
• Not disturb wildlife or damage natural habitats
• Comply with park rules and conservation guidelines
• Not engage in unsafe or reckless behavior

Violation of this code of conduct may result in immediate removal from the tour without refund.

10. Payment Terms

• Deposit: A deposit (usually 25-50% of total cost) is required to secure your booking
• Final Payment: Full payment is due 60 days before departure unless otherwise agreed
• Payment Methods: Bank transfer, credit card, or other agreed methods
• Late Payment: Tanzania Destination reserves the right to cancel bookings with unpaid balances 30 days before travel
• Currency: Prices are quoted in USD unless otherwise specified
• Price Guarantees: Prices are valid for bookings made 60+ days before travel. For shorter bookings, price verification is required

11. Changes & Updates to Services

Tanzania Destination reserves the right to make reasonable modifications to itineraries, accommodations, or activities due to:

• Weather conditions and seasonal changes
• Wildlife availability and seasonal migrations
• Accommodation availability or facility issues
• Park closures or access restrictions
• Road conditions and transportation availability
• Safety concerns or emergency situations

We will make every effort to maintain the quality and spirit of your safari experience while accommodating these changes.

12. Third-Party Services

Our services may include third-party providers such as airlines, hotels, and activity operators. While we carefully select our partners, we are not responsible for the actions, omissions, or failures of third-party providers. Each third-party provider has its own terms and conditions and liability limitations. We recommend reviewing these carefully.

13. Dispute Resolution

13.1 Informal Resolution

13.2 Formal Resolution

Any disputes arising from these Terms or your use of our services shall be governed by and construed in accordance with the laws of Tanzania, without regard to its conflict of law principles. Both parties agree to submit to the exclusive jurisdiction of the courts of Arusha, Tanzania.

13.3 Arbitration (Optional)

For international disputes, either party may request binding arbitration to be conducted under the rules of international arbitration, with proceedings conducted in English and held in Tanzania or another mutually agreed location.

14. Limitation Period

Any claim arising from your use of our services or breach of these Terms must be filed within 12 months of the incident date. Claims filed after this period shall be barred.

15. User Reviews & Content

15.1 Submission of Reviews

You may submit reviews and feedback about your safari experience on our Website. By submitting a review, you represent that:
